Digital asset governance

Your ad accounts belong to you.
Partners get access, not your keys

A practical guide to keeping ownership of your ad accounts and data, and giving your marketing partner exactly the access it needs, without sharing a single password.

Key takeaways

  • Your account passwords are never shared with anyone, and a professional company never asks for them.
  • Every ad platform offers an official way to add a partner with defined permissions that you can revoke at any time.
  • Digital assets are created in your business’s name and email, and managed by at least two admins from inside the business.

What we see when we start with new clients

Many businesses we start working with have their digital assets scattered across parties they no longer work with, and nobody inside knows exactly who owns what. The same situations come up again and again:

The ad account sits inside a previous marketing company’s business account

Performance history and audiences stay with that company, and are hard to recover when the contract ends.

Passwords circulate in WhatsApp chats and emails

Nobody knows how many people have seen them, and changes can’t be traced to a person.

The pixel or dataset is owned by someone else

Yet it holds the visit and conversion data your campaigns are built on.

The login email belongs to an employee who has left

So account recovery or verification fails when it’s needed most.

Should you give your marketing company your ad account password?

Both let a marketing company run your campaigns. The difference in ownership, control and impact is large:

Sharing the passwordAdding a partner
OwnershipBlurred: whoever holds the password effectively owns the accountStays with your business; the partner works with granted access
ScopeFull access to everything, including billing, settings and adminsDefined access to defined assets: campaigns, reports or pixel
TraceabilityEvery change shows under one person’s nameEvery change is logged under the person who made it
RevokingRequires changing the password and informing everyone who uses itRemove the partner in one step, with no impact on your campaigns
SecurityTwo-step verification disabled or its codes shared; risk of account restrictions from many devices and locationsEach party signs in with its own account and two-step verification

Which digital assets does your business own?

Before governance comes inventory. These assets should all be in your business’s name:

Business accounts

Meta Business Portfolio, TikTok Business Center, Snap Business Manager.

Ad accounts

Meta, Google, TikTok, Snap and X, with their history and billing.

Pixels and conversion data

Pixels, datasets, conversion events and server-side connections.

Audiences and catalogue

Customer lists, custom audiences and the product catalogue.

Measurement tools

Google Analytics, Tag Manager and Merchant Center.

Social profiles

Your business’s pages and profiles on every platform.

Online store

The owner account on Salla, Zid or any other platform.

Domain and email

Your domain name, DNS settings and company email.

Five steps to proper governance

  1. 01

Create assets in your business’s name

Use the company email, not a personal one and not the marketing company’s, and register business accounts under your legal business name.

  2. 02

    Appoint two admins from inside

At least two full admins (the owner and a trusted person), each with two-step verification, so access never depends on one person.

  3. 03

Add your marketing company as a partner

Use each platform’s partner settings, and share only the assets it needs at the right permission level.

  4. 04

    Keep an asset register

A simple table: asset, ID, owner, who has access, date of last review.

  5. 05

    Review access regularly

Every three months, and remove any partner or employee as soon as the relationship ends.

How to share ad account access on each platform

The official way to add a partner or user on each platform, with its own help guide:

Meta Business Manager (Facebook & Instagram)

Business Portfolio (formerly Business Manager), ad account and pixel

Settings → Partners → add a partner by its business ID, then share the ad account, pixel and dataset with it

Google Ads

Your ad account and its Customer ID

Give the partner your Customer ID; it sends a link request from its manager account (MCC), and you accept it under Access and security

TikTok Business Center

Business Center and ad account

Users → Partners → add a partner by its Business Center ID, then assign accounts and assets to it

Snapchat Business Manager

Business Manager and ad account

Members → invite the partner by email, then give it a defined role on the ad account

Google measurement

Google Analytics and Tag Manager

User management → add the partner’s email with a defined role, not administrator

Online store

The owner account on Salla or Zid

A separate staff account with limited permissions, or a connection through the store’s official apps, never the owner login

Red flags when hiring any marketing company

  • It asks for your password or two-step verification code.
  • It creates the ad account or pixel inside its own business account, not yours.
  • It refuses to make your business a full admin of its own assets.
  • It doesn’t give you direct access to performance data on the platform itself.
  • It attaches its own payment method or billing without a clear written agreement.

How to take back your ad account from a previous marketing company

No need to panic. Start with these steps, in order:

  1. 01

    Change the passwords

For every account you shared, starting with the company email, since it is the recovery key for everything else.

  2. 02

    Turn on two-step verification

On every account, using devices of people inside the business.

  3. 03

    Review admins and partners

Remove anyone you don’t recognise or no longer work with.

  4. 04

    Review payment methods

Make sure the cards attached belong to your business, and check recent invoices.

  5. 05

Recover assets created under someone else

Ask for them to be shared with you at full access. Some assets, such as a Meta pixel, can’t move between business accounts, so you may need to create a new one in your name and use it from now on.

Frequently asked questions

Can a partner delete my account or change billing?

That depends on the access you grant. Give your marketing company campaign management access, and keep admin and billing permissions inside your business.

I run a small store. Do I need a business account?

Yes. Business accounts are free on the major platforms, and they are what lets you add and remove partners without sharing logins, whatever your size.

What happens to my campaigns if I remove the partner?

Your campaigns, their history and data stay in your account exactly as they are. Only the partner’s access ends.

Should I give my marketing company my ad account password?

No. Every major ad platform lets you add a partner or user with defined permissions, so there is no need to share a password or verification code with anyone.

What is the difference between adding a partner and adding a user?

A partner is a whole business, added by its business account ID, that manages your assets from its own account. A user is one person, added by email. Use partner access for marketing companies, and keep full admin roles for people inside your business.

How do I share my Meta ad account with a marketing partner?

In Meta Business Manager (Business Portfolio): Settings → Partners → Add, enter the partner’s business ID, then share the ad account, pixel and dataset with the permissions it needs.
